Job Description:
The Enrollment Coordinator performs a variety of duties of above average difficulty with responsibility and duties in the planning and administration of the Tribal Enrollment Department, and is responsible for the implementation of the Pueblo of San Felipe’s membership/Enrollment Ordinance. The Coordinator will meet all requirements, goals and objectives as set forth by the Tribal Administration and shall be responsible for ensuring the effective communication with the community, Tribal Council, Tribal Administration and Tribal Administrators on all enrollment-related matters.
Duites:
- Possess understanding of BIA agency 638 funding responsibilities.
- Maintains departmental budget to include preparation and compilation of data for budget reporting.
- Researches and compiles tribal membership data and affords requested data to program departments for grant and proposal applications.
- Attends Tribal Council meetings for presentation of membership requests per the Enrollment ordinance. Prioritize issues concerning special case applicants and relinquishments.
- Ensures all data for Membership purposes, such as birth, deaths, relinquishments, naturalizations, court orders and paternity documents are correct and accurate.
- Provides guidance to ensure proper protocol be followed to resolve membership appeals when deemed necessary.
- Ensures data input into the electronic data system called TEAMS is current and accurate in accordance with the Tribal Enrollment Ordinance.
- Ensures all time sheets are completed and checks for accuracy for payroll schedules
- Coordinates the Enrollment Committee meetings and serves as an assistant to the committee to ensure all new applications and pertinent data is accurate and complete.
- Certifies the verification of San Felipe Pueblo Indian Blood on: ( Certificates of Indian Blood and Indian Preference forms)
- Develops department procedures and protocols to ensure effective operations
- Is responsible for training employees; assigning, and directing work; appraising performance; disciplining employees; addressing complaints and resolving problems.
- Ensures the Department scope of work is implemented as agreed to with the funding agency
Qualifications:
- Education: Bachelor’s degree (BA) from four-year University preferred; or Associates Degree with two years accompanying experience directly related to Tribal Enrollment, or an equivalent combination of education and experience.
- Experience/Basic Knowledge:
- Must have the ability to read and interpret documents, including but not limited to grants, contracts, ordinances, laws and regulations
- Must be able to write routine reports and correspondence.
- Ability to speak effectively before groups of community members, employees and non-tribal agencies and tribal council.
- Ability to calculate routine mathematical functions
- Must have internet and computer skills related to Microsoft Windows application software (Excel, Word, Power Point, Access).
- Must be able to trouble shoot, detect and find minor errors and other problems relating to the windows operations.
- Must have the ability to conduct necessary research related to Tribal Enrollment activities
- Must be able to adhere to the principles of confidentiality.
- Required Licenses/Certifications: Must have a valid New Mexico’s Driver’s License.
- Physical Requirements: Physical Demands require the ability to work effectively in an office setting, to lift at least 40 lbs., to sit behind the desk for the majority of an 8-hour workday.
