CCS Building Receptionist
Under the supervision of the Enrollment Coordinator, the incumbent will assist with essential duties at the Community building

Job Description:
This is a community-based position that serves the residents of the Pueblo of San Felipe. Under the direct supervision of the Enrollment Coordinator, the incumbent will assist with essential duties at the Community Care Service Building to meet the requirements, goals, and objectives of the Pueblo of San Felipe Tribal programs located in the building.
Duites:
In coordination with the Enrollment Coordinator and other Community Care Services Department Supervisors/Directors:
- Maintain a clean, organized, and presentable reception area.
- Greet and welcome clients, visitors, and staff with professionalism and courtesy, ensuring they are directed to the appropriate person or office.
- Manage a multi-line phone system, answer calls promptly, and redirect as necessary while maintaining professionalism.
- Coordinate conference room bookings and ensure meeting spaces are properly equipped.
- Provide general office assistance to community members, including information and referrals for Pueblo of San Felipe programs such as Family Services, Domestic Violence, Education, and Enrollment.
- Manage and prepare purchase orders for shared costs within the Community Care Services Building, ensuring accuracy and proper accounting.
- Use office software, including Microsoft Office Suite and scheduling tools.
- Adhere to security protocols by maintaining visitor logs and monitoring building entry procedures.
- Assist with administrative tasks such as filing, data entry, and processing program documents.
- Maintain strict confidentiality of all information.
- Provide interpretation between Keres and English as needed.
- Maintain confidentiality at all times. All information handled by the Receptionist, including program records, client data, and communications, must be kept strictly confidential. The Receptionist must comply with HIPAA, Pueblo of San Felipe confidentiality policies, and all applicable federal, state, and tribal regulations. Breaches of confidentiality may result in disciplinary action, up to and including termination of employment.
Additional Responsibilities:
The incumbent will also support and participate in program activities, events, and functions related to the programs housed within the Community Care Services Building. The supervisor may assign other duties as necessary to meet departmental and organizational needs. This position description is not intended to be all-inclusive. The employee may be required to perform additional tasks or assume other responsibilities as directed by the supervisor to ensure the effective operation of the Pueblo of San Felipe programs and services.
Qualifications:
- Education: High School Diploma or equivalent and one year related work experience.
Knowledge, Skills & Abilities:
- Demonstrate ability to work with confidential and sensitive information with the highest level of integrity.
- Knowledge of laws, rules, and regulations governing records management, including HIPAA and federal, state, and tribal privacy requirements.
- Ability to apply confidentiality standards consistently and exercise sound judgment in handling protected health and client information.
- Knowledge of the customs, traditions, and values of the San Felipe community, with a demonstrated appreciation for the importance of cultural practices, language, and traditional ways of life.
- Proficiency in office software and technology tools, including Microsoft Office Suite, scheduling platforms, and data management systems.
- Strong verbal and written communication skills for effectively handling client interactions, drafting documents, and maintaining professional correspondence.
- Proven problem-solving and decision-making abilities, with capacity to manage last-minute changes and prioritize tasks effectively.
- Highly developed organizational skills, with attention to detail for managing calendars, scheduling, and administrative tasks in a fast-paced environment.
- Commitment to customer service excellence, with an ability to maintain professionalism and courtesy in all interactions; willingness to complete annual customer service training.
Required Licenses/Certifications: A valid State or Government driver’s license.
Physical Requirements:
- Ability to work effectively in an office setting.
- Ability to lift at least 40 lbs.
- Ability to sit at a desk for most of an 8-hour workday.
