Job Description:
Provides administrative and executive support to all departments; gives information to callers, takes dictation and otherwise relieves officials of clerical work and administrative duties and business detail by performing the following duties.
Duites:
- Orders office supplies upon approval and ensures office has sufficient supplies on hand.
- Files correspondences and other records.
- Maintains Commission’s permanent file.
- Maintains and administers Employee Benefits.
- Maintains employee personnel files and ensures compliance with Federal and Tribal Law.
- Assist in maintaining personnel policies and procedures.
- Assist in maintaining Job Descriptions.
- Arranges Travel itineraries for all staff members.
- Organizes and schedule meetings and appointments.
- Records, types, present and maintain minutes of the Commission’s monthly meetings. Prepares outgoing mail, faxes and scans documents.
- Assists in answering telephone and gives information to callers or routes calls to appropriate official and places outgoing calls.
- Greet visitors, ascertains nature of business, and conducts visitors to employer or appropriate person.
- Composes and types routine correspondence.
- Makes copies of correspondence and other printed matter.
- Runs errands for the Commission.
- Verifies the accuracy of the payroll data prior to Accounting Specialist finalizing payroll.
- Records all incoming checks received.
- Reviews all check deposits for the operating accounts.
- Maintains confidentiality of all privileged information.
- This position is not limited to those duties listed in the job description. Duties and responsibilities can be changed, expanded, reduced or deleted to meet business needs of the company.
Qualifications:
- Associates Degree (A.A.) in business administration or related field from a two-year college or technical school, or fours of years of related experience and/or training, or equivalent combination of education and experience.
- Must posse a valid NM driver’s license.
- Must be able to pass a pre-employment drug test
Knowledge, Skills & Abilities:
- Must be Proficient in English
- Knowledge of office management systems and procedures
- Excellent time management skills.
- Ability to multi-task and prioritize work
- Ability to read and interpret documents such as instructions for filling reports, operating and maintenance.
- Ability to write routine reports and correspondence (memorandums, monthly reports, emails, etc).
- Ability to speak before groups of customers or employees of the organization.
- Able to generate reports using Microsoft word, excel, and other software deemed essential to create reports.
- Ability to apply concepts of basic accounting.

Supervision Received: Work is performed under the general direction of the Executive Director.
