Office Coordinator
The DNR Office Coordinator will be responsible to support the functions of the Department of Natural Resources

Job Description:
The DNR Office Coordinator will be responsible to support the functions of the Department of Natural Resources by providing great communication with tribal staff, tribal members and vendors, completing purchasing documents, travel, and all manner of other activities in support of the DNR.
Duites:
- Communication with Tribal Leadership, Tribal Administrators DNR Director, staff, tribal members, vendors and others through letters, emails, telephone and in person.
- Communicates effectively and timely with all appropriate external agencies and businesses. Must be able to write a business letter, and prepare communications for mailing and delivery
- Follows internal procurement policies and communicates well with the Finance Department
- Assists DNR staff with finding specialized equipment and tools, including agricultural, and ensuring the vehicles and equipment are receiving timely maintenance.
- Assists DNR Director with communication both internal and external, ability to speak Keres necessary to effectively communicate with tribal members seeing services from the DNR and Agriculture program
- Assists tribal members in connecting with DNR services and staff members who can assist them, including tracking and logging requests
- Assists in keep the functions of the DNR flowing smoothly, tracking staff leave requests and other needs
- Assists with setting up meetings, preparing documents for meetings and coordinating with the Executive Assistant to schedule
- Works well with others, refrains from gossip, maintains strict confidentiality, follows the Organization Handbook closely
- Keeps files and cuff accounts for multiple grant contracts. Must be able to use excel, create organization systems and maintain the daily flow of Purchase Orders between the DNR and Finance Departments
- Prepares accurate time sheets for the DNR and submits to Finance based on required timelines
- Keeps accurate logs of access permits, fire permits, and copies of all Purchase Orders, receipts and communication
- Must be able to balance multiple tasks and priorities
- Keeps the Coordinator’s office well organized
- Keeps and tracks logs of incoming and outgoing mail, keys, equipment, vehicles, etc
- Issues Burn and Access Permits, using discretion regarding purpose for access, weather for burning etc
- Keeps financial cuff accounts for multiple programs
- Keeps electronic and paper files, and assists the Director with filing
- Works with Finance department on quarterly and year-end reports as required
- Attends relevant meetings and trainings, assists with scheduling of meetings
- Contributes to the Department of Natural Resources team effort to accomplish desired outcomes.
- Seeks to implement the most effective and culturally appropriate methods of completing the work and assisting other DNR staff in the same.
- Works efficiently, happily to keep a busy office well organized and smooth running
- Performs other duties as assigned or necessary.
Additional Responsibilities:
- Must be able and willing to work in a fast paced setting, with attention to detail, and be willing to assume other related responsibilities as needed or directed. Must take initiative to ensure tasks are completed quickly to ensure smooth flow of Department functions.
- Ability to use computers and Microsoft Office suite a must
- Must have the ability to work in a team environment as well as independently to meet deadlines and manage multiple tasks.
- Must be able to work in an office environment with strong communication skills
- Ability to work and stay productive under limited supervision
- Must have familiarity with Pueblo culture and its relationship to land and water resource management and must understand or be willing to learn how to work within the Pueblo of San Felipe socioreligious environment.
Qualifications:
Education: High School Diploma, GED or Associates Degree; experience (preferably tribal) and/or training in a related field
Experience/Basic Knowledge: expertise in typing, spreadsheets, business communications, filing, ability to communicate with a variety of entities and individuals, strong organization skill required, willingness to learn and work as a team required
Required Licenses/Certifications: Must have a valid New Mexico Driver’s License and be insurable under Tribal insurance policies.

Preferences: San Felipe Tribal Member and Keres speaker preferred.
Working Conditions:
Must be able to work in an office setting and willingness to go out in the field to assist staff with relevant needs or assess vehicles as necessary.
Additional Info:
Supervision and Guidelines: Incumbent will work under the direct supervision of the Director for Natural Resources.
